There are more AI tools than anyone can keep up with. It's easier to think in layers. Most businesses use several of them, and each layer has a clear sign that it's the right one for the job.

Use whenPeople need help with daily work.
Use whenSame steps, high volume, money or audits.
Use whenUnique, proven workflow + in-house engineers.
Layer 1AI built into software you already pay for
Your CRM, field service, or marketing software may already include AI features. Tools like ServiceTitan, Salesforce, and HubSpot are examples. If one of them already covers the job, turn it on and stop there.
Layer 2An AI assistant where your team works
When people need help with their daily work, give them ChatGPT or Claude inside the places they already spend the day, like Microsoft 365, Slack, or Google Workspace.
Layer 3Automations for repeatable steps
When the same steps happen over and over, at high volume, or anywhere money or an audit is involved, use an automation tool like n8n or Make. It runs those steps the same way every time.
Layer 4Custom code, only if needed
Build custom, with a tool like Claude Code, only when the workflow is unique, already proven, and you have in-house engineers to look after it.
Sensitive or regulated data? On every layer, use enterprise plans with a signed privacy agreement.
Use what you already pay for first. Build custom last.
Give every AI tool an owner. Check it monthly.
